ONLYOFFICE: sovereignty score and 8 European alternatives

ONLYOFFICE is an office suite for creating and jointly editing documents, spreadsheets, presentations and PDFs. ONLYOFFICE Docs contains the online editors, which run in the browser and are also available as desktop and mobile apps; they can be connected to dozens of other platforms or embedded in custom web applications. ONLYOFFICE DocSpace is a room-based collaboration platform with built-in editors. Both can be used as a cloud service or on your own servers.

The ONLYOFFICE rights are held by Ascensio System SIA, a Latvian company in Riga. According to the company, it is owned through a UK intermediate holding by ONLYOFFICE Capital Group Pte. Ltd., a holding company in Singapore. The source code is on GitHub under the AGPLv3, supplemented by additional conditions on the logo and trademark rights. The Free Software Foundation has stated that these extra restrictions are incompatible with the AGPLv3, and this led to a dispute with the European fork project Euro-Office. Organisations that self-host ONLYOFFICE decide where their data is located; with the cloud service this depends on the provider's hosting arrangements.

Why digital sovereignty matters with ONLYOFFICE

ONLYOFFICE is headquartered in LV and therefore falls under European law: the GDPR, NIS2 and the Data Act. No foreign legislation can compel access to your data. The ultimate owner is based in SG. Foreign control undermines part of the certainty a European headquarters offers.

Data is hosted exclusively in the EU, so ONLYOFFICE scores best on data residency.

ONLYOFFICE is closed source and hosted by the vendor. The encryption keys and the runtime sit with the vendor and switching requires data migration. Ask about bring-your-own-key, export options and open standards.

What this means for your organisation depends on your whole stack and context. The free assessment weighs ONLYOFFICE together with your other vendors and gives a total score, a heatmap and the main risk drivers.
