Collaboard: sovereignty score and 8 European alternatives

Collaboard is an online whiteboard for visual collaboration in meetings, workshops and project work. It offers mind maps, sticky notes, drawing tools, tables, comments and voting, timer and presentation functions, with templates and integrations such as Microsoft Teams, Nextcloud, Jira and Confluence. Security options include two-factor authentication, single sign-on and password-protected boards. Collaboard is available as a cloud service or can be self-hosted, on-premises or in a private cloud.

The product is developed by IBV Informatik AG, a privately owned Swiss company. Switzerland is outside the EU but within EFTA. According to the vendor, the cloud runs on Open Telekom Cloud in data centres in Germany (Magdeburg and Biere), or on Microsoft Azure in the Netherlands or Switzerland. Collaboard states that data is encrypted with TLS in transit and 256-bit AES at rest. The on-premises variant runs in containers in a data centre of the customer's choice, including its own cloud. This lets a European organisation decide the location and jurisdiction of its data itself.

Why digital sovereignty matters with Collaboard

Collaboard is headquartered in Switzerland and falls under Swiss law, including the revised Swiss data protection act. Switzerland is not an EU member, but the European Commission recognises its level of data protection as adequate. Its Swiss headquarters does not by itself bring it under US legislation such as the CLOUD Act.

Collaboard hosts data in the EU and in Switzerland. Switzerland is covered by a European Commission adequacy decision, so personal data can go there without extra safeguards. If you require strictly EU hosting, check the data processing agreement for which data is stored in Switzerland.

Collaboard is closed source and hosted by the vendor. The encryption keys and the runtime sit with the vendor and switching requires data migration. Ask about bring-your-own-key, export options and open standards.

What this means for your organisation depends on your whole stack and context. The free assessment weighs Collaboard together with your other vendors and gives a total score, a heatmap and the main risk drivers.
