Mail-in-a-Box: sovereignty score and 8 European alternatives

Mail-in-a-Box is a self-hosted email server that sets up a complete mail environment on a fresh Ubuntu 22.04 machine in the cloud. It includes Roundcube webmail, an IMAP/SMTP server for mobile and desktop clients, Nextcloud Contacts for syncing contacts and calendars, and a web control panel with TOTP two-factor login. It automatically configures DNS records for SPF, DKIM, DMARC and MTA-STS, TLS certificates from Let's Encrypt, spam protection and automated backups. It is built on Postfix, Dovecot and SpamAssassin, among others, and offers few configuration options.

The project was started in 2013 by Joshua Tauberer, who is the primary maintainer together with volunteers. There is no controlling company. The software is released into the public domain under CC0. Because you choose the server yourself, you decide where the mail is stored, for example with a European hosting provider. It is a route to running your own mail server without a subscription to a mail provider, with responsibility for administration, updates and security.

Why digital sovereignty matters with Mail-in-a-Box

Mail-in-a-Box is headquartered in the United States. US vendors fall under the CLOUD Act and FISA 702: US authorities can compel access to data, even when that data sits in a European data centre. That is the core of the jurisdictional exposure in our model.

Data is hosted exclusively in the EU, so Mail-in-a-Box scores best on data residency.

Mail-in-a-Box is open source. You can audit the source code, self-host the software and keep the encryption keys under your own control. Switching is easier because data and software are not tied to a single party.

What this means for your organisation depends on your whole stack and context. The free assessment weighs Mail-in-a-Box together with your other vendors and gives a total score, a heatmap and the main risk drivers.
