mailbox.org: sovereignty score and 8 European alternatives

mailbox.org is an email and collaboration service for individuals and businesses. Besides mailboxes with calendar and address book, the suite includes file storage (Drive), video conferencing (Meet) and online office tools (Office); the Standard and Premium plans support custom domain names, and businesses get central account management. Email can be encrypted and signed with S/MIME or PGP, and the service runs without advertising. It is software as a service, operated by the Heinlein Gruppe.

According to mailbox.org, its servers are located exclusively in Germany (Berlin), so German data protection law and the GDPR apply. The company cites ISO 27001 and BSI C5 certifications and says it runs on 100 percent renewable energy. No foreign parent company is named. The service itself is not described as open source. For a European organisation, mailbox.org is a provider with both its operator and its data storage inside the EU.

Why digital sovereignty matters with mailbox.org

mailbox.org is headquartered in DE and therefore falls under European law: the GDPR, NIS2 and the Data Act. No foreign legislation can compel access to your data.

Data is hosted exclusively in the EU, so mailbox.org scores best on data residency.

mailbox.org is closed source and hosted by the vendor. The encryption keys and the runtime sit with the vendor and switching requires data migration. Ask about bring-your-own-key, export options and open standards.

What this means for your organisation depends on your whole stack and context. The free assessment weighs mailbox.org together with your other vendors and gives a total score, a heatmap and the main risk drivers.
