Helpdesk and customer-support software manages tickets, shared inboxes, live chat, knowledge bases and increasingly AI-assisted replies. Support teams use it to handle customer questions, track service levels and keep a history of every conversation. Zendesk and Freshdesk are common non-EU reference points.
Support systems quietly accumulate a great deal of personal data. Tickets contain names, contact details, order information, screenshots and attachments, and customers sometimes paste passwords, identity documents or medical details by mistake. Chat transcripts and call recordings add to this. The vendor's own support staff, sub-processors and any AI features that analyse tickets all extend the circle of people and systems that can see them. Switching is also hard in practice, because the history of resolved tickets, macros, automations and knowledge-base articles lives in the tool.
When choosing a European option, check where tickets and attachments are stored, how long they are retained and whether automatic deletion can be configured. Ask whether AI features are optional and whether your content is used for training, and whether full export of tickets, customers and articles is available through the API. Integration with your email, chat and CRM, plus multi-language support for your customers, completes the picture.
